GWA Unit Sponsored Application


Some of our members have indicated that they would like to use the site for additional activities. The administrative board of the GWA has developed a policy that will enable our members to plan activities that will benefit both our member units and the GWA.

1. Any GWA unit may sponsor a WW I activity (immersion weekend, training weekend, recruitment, or any other smaller scenario) without a site fee. No gun firing and pyro after 10 pm without special permission.

2. Expenses, such as port-a-johns, ambulance (if desired), or any other services would need to be paid for by the sponsoring unit. Sponsoring Units failing to honor any financial obligations will not be allowed to participate in GWA events until the obligation is paid.

3. Any time period other than WWI may be reenacted, however, a flat fee of $10 per participant will be charged.

4. The sponsoring unit is responsible for advertising the activity (with the exception that the event can be listed on the GWA website), organizing it, coordinating it, providing supplies and clean-up of the site.

5. The GWA assumes no liability for the unit’s activity or the participants.

6. A unit activity cannot be held 21 days prior to or after a GWA event. Also, unit sponsored events may not be held on consecutive weekends.

7. Any repair of damage would be the responsibility of the sponsoring unit. Failure to do so will result in the unit not being allowed to participate in GWA events until the damages are taken care of.

8. A request to use the site must be submitted 60 days in advance and be approved by the administrative board.

9. Combat involving discharge of firearms and / or pyrotechnics beyond 10 PM requires special permission from the GWA (G-8) Administrative Board.

10. During the activity, the site would be closed to non-participating units.

11. The area including the modern camp, memorial zone, parking area and everywhere in between is prohibited from combat action.

12. The sponsoring GWA unit(s) assumes full responsibility for protecting the site during their event. This shall include:

  • Ensuring property boundaries are observed and respected.
  • Ensuring portojohns are serviced after the event.
  • Ensuring tra sh is picked up from around the areas of the site used and that the dumpster is emptied.
  • Ensuring that no materials are disturbed without the owners permission.

13. The sponsoring unit commander shall make a full report of the event and the site conditions after the event to the G-8.

14. Event insurance is required for any event where the number of participants exceeds 100 persons, unless at least 75 % of the participants are GWA members.

15. All pyrotechnics must meet GWA pyrotechnic regulations and an inspection of said pyrotechnics must be accomplished by the Sponsoring Unit.

16. The GWA Safety Regulations shall be used by the event; a safety briefing explaining these rules must be held prior to commencement of combat.

17. Proof of proper licensing and permits for Class III weapons shall be present for inspection on site.

18. The event must make provisions to allow for any GWA member with an appropriate impression for the scenarios to participate in the event.
